How to verify after receiving the electronic Apostille: check the number, issuing authority and original document correspondence

The electronic Apostille is not an ordinary email attachment; before submission, you should use the verification channel provided by the issuing authority and check the original document version attached to it.

Save the original electronic file first

After receiving the electronic Apostille, you should keep the original PDF, download link or verification information sent by the issuing authority. Do not just save the screenshot, nor do you print-scan and convert repeatedly. Electronic signatures, QR codes, or verification fields may be lost during the conversion process.

Three levels of verification

  1. Issuing authority: Confirm that the name belongs to the place where the document originates and has the authority to issue Apostille Competent authority;
  2. Certificate record: Check number, issue date, signatory, seal or certified identity;
  3. Original document correspondence: Confirm that name, company name, document date, page number and attachments are consistent with the version submitted this time.

Only use the verification channel indicated on the certificate

The e-Register addresses of different authorities are different. You should enter the verification page from the official website of the issuing authority or the certificate itself, and do not upload files to unknown third-party websites. HCCH's Apostille topic can be used to understand the electronic Apostille mechanism, but the specific certificates remain to be verified by the respective authorities.

Whether a printed copy can be submitted

The validity of the electronic Apostille and whether the recipient accepts the printed copy are two issues. The Chinese receiving unit may require original electronic documents, color printouts, offline verification or complete Chinese translations. Ask about media and binding requirements before submitting.

What to do if inconsistencies are found

If the number cannot be queried, the version of the attachment is different, the spelling of the name is inconsistent, or the issuing authority does not match, the submission should be suspended and the issuing authority or service personnel should be contacted for verification. Don't edit the PDF yourself, overwrite pages, or reassemble attachments.
