A quick overview of the Apostille process for US documents in China: Which documents need to be notarized first

Government records generally should not be notarized repeatedly, while private documents and school documents may need to establish a notarized signature chain first.

Not all documents need to be seen by a notary first

Birth certificates, marriage certificates or company existence certificates issued by state governments should usually use the officially recognized version. Do not notarize the originals for "an extra layer of insurance". Privately signed documents such as power of attorney and declaration usually need to be notarized according to the requirements of the signing state.

Quick judgment on the three types of documents

• Government records: obtain originals or certified copies first, and then process according to the place of issue;
• Privately signed documents: confirm the text first, then sign and notarize it and complete the applicable county or state steps;
• School documents: Often a school official makes a true record statement, and then notarizes the official's signature.

Processing sequence

1. Confirm the specific document requirements of the Chinese receiving unit;
2. Identify the issuing authority or signatory;
3. Complete necessary but not excessive pre-processing procedures;
4. Apply for Apostille to the correct competent authority;
5. Check the entire set of documents and translate them as required.

Should not promise “one step to get everything done”

Apostille simplifies the authentication of official documents between convention members, but it does not replace the business review of the Chinese receiving unit, nor does it guarantee unconditional acceptance of each document. When legal validity, property and identity matters are involved, separate professional advice should be obtained.
